Procedure Overview


1.             Search supervisor → subject mentoring

2.             Foreign Applicants

2.1            Welcome Guide

2.2           Document check (recognition of foreign academic degree)
                 → Dean’s Office

2.2.1        Process Scheme

2.3            for applicants with a foreign Master-Degree:
                  Check if university and degree are deposited
                  on ANABIN. If not:
                  Certificate evaluation by the ZAB is required, long form!
                 (Central Office for Foreign Education in Bonn)
                  Attention - the costs are borne by the applicant!
                  A recognition grant is possible, if applicable.

2.4            If the degree is listed in the Anabin database
                  but no ZAB-Certificate (long form) can be submitted
                  applicants from China, Vientnam and India must compulsorily
                  submit an APS-Certificate from their respective embassy.

2.5             Admission of foreign students  → Unit 1.2 International Office
                  regarding Enrolment


3.              Acceptance as doctoral student → Office of the Dean

3.1            Academic Degree
                  degree list
                 (degrees already accepted by the doctoral examination board)

3.2           Document check → Office of the Dean
                 Process Scheme

3.3           Copies of documents on presentation of the original
                  (english version if applicable official translation agency) :
                 - Higher education entrance qualification
                 - Report with marks of Bachelor's and Master's Academic Degree
                 - all Degree Certificates
                 - all certificates of state examinations, if any
                 - Confirmation of period of study/Transcript of Records
                  If you have not yet received your Master's certificates, please submit
                  a provisional certificate from the Examinations Office (JMU-Unit 2.3) and
                  submit the certificates as soon as they are issued to you.

3.4           Supervisory Agreement

3.5           Acceptance as a doctoral candidate


4.             Enrolment  → Unit 2.2, Student Affairs  → enrolment period

5.             Enrolment certificate → submission Office of the Dean


6.        Informal meeting - subject mentoring           

           Submission of the forms to the Dean's Office for
           documentation in the doctoral file:

  • Procedures concerning which started after 6 July 2022:
     if applicable
    - application for extension of the total duration
     of your doctoral studies if longer than 6 years in total
     (Basis of assessment: start of the doctoral process or
      acceptance as a doctoral candidate according to
      supervision agreement)



7.             Admission relating to doctoral examination

7.1           Submission of documents (place, date, orignial signature)
                 → Office of the Dean → Route Card

7.1.1        Application  (admission to doctoral examination)

7.1.2        Doctoral Dissertation (10 copies)
                 printed double-sided (printed reviewed script)
                 tighten binded, no spiral binding!
                  submission Office of the Dean:
                  - 1 printed copy of doctoral thesis,
                  - 1 electronic version pdf of doctoral thesis
                     to ""
                 submission directly to supervisors/respectively examiners
  - each 1 printed copy of doctoral thesis
                    (if intentions for external supervisors/respectively examiners
                     the Dean's approval is needed in advance)
                 submission University Library (after defence!)
                  - 5 printed deposit copies of doctoral thesis

7.1.3        Statement relating to supervisory agreement

7.1.4        in case of preparation in a cumulative way or cumulative in parts

         form authorship
         (please add this form also into dissertation)

         form acknowledge


7.1.5        Assurance

7.1.7        Curriculum Vitae (detailed CV)

7.1.8         1 x list of publications
                  (updated register indicating complete bibliographic data)

7.1.9         Original - Good-Conduct Certificate for Authorities -
                  intended use: Promotion / PhD
                  German citizens:
                  Certificate applied for at a city or municipality administration
                  it must say: "zur Vorlage bei einer Behörde nach § 30 Abs. 5 BZRG"
                  Sent directly from the Federal Office of Justice
                  to the Office of the Dean!
                  Citizens from other european countries: Supplemental the
                  European certificate of good conduct must also be applied for.
                  Citizens from other countries: The official certificate of good conduct
                  customary in these countries must be submitted
                  (e.g. from a Criminal Investigation Department).

7.1.10      notification sheet - final exams - Unit 2.2 Student Affairs
                 (according to degree/subject WueStudy - course of studies)

7.1.11       in case of binational doctoral studies
                  a signed cooperation agreement is needed

8.              Request of assessment of doctoral disseration (Office of the Dean)

9.              Circulation procedure (Office of the Dean)

10.            Organisation of defence incl. room booking (Office of the Dean)




Completion after Defence

11.            University Library

11.1          Upload of doctoral dissertation (OPUS)

11.2          Submission of copies

11.3          if applicable - temporary application for Nonpublication
                  § 15 Abs. 5 Doctoral Regulations - Attention one year deadline!
                  In addition to this,  a justified application to the Office of the Dean is needed -
                  Approval of the Doctoral Committee !           

12.            Submission route card → Office of the Dean

13.            Submission statistics survey career

14.            Certificate is issued

15.            Certificate can be collected at the Office of the Dean
                  or received via registered letter to your home address -
                  return receipt→ Office of the Dean
